1 Service Overview

Cloud Shared Office.com (hereinafter referred to as “Services” )is the gerenalgeneral terms for the below services offered by SOLXYZ., Ltd. (hereinafter referred to as “we”).
This service speculation sets out the service specifications offered by our product for customers who applied for this service.
Below are details of our service.

① Cloud Shared Office / ECM

This is a cloud content (document) management service. With a browser and internet connection, secured content (document) management, version management, exclusive control, sharing and collaboration are available. In addition, we offer necessary functions for corporate office environment, such as multiple-file delivery or workflow.

② Cloud Shared Office / WebReport

This is a cloud report creation/electronic report service. Mapping exported document from the system and your overlay, you can directly print the file, save it as a report on the cloud and convert it to PDF file-format. Print job spool compatible with large-volume printing is available as well. For data integration from on-premises, application, called BOX, is required. For print from a separated location, a print agent called ClientPrint, is required.

③ Cloud Shared Office / ECM for Salesforce

This is CSO/ECM for Salesforce. We offer this product as an AppExchange application.

④ Cloud Shared Office / WebReport for Salesforce

This is CSO / WebReport for Salesforce. Create a PDF report with Salesforce standard objects or custom objects and save it on Salesforce or CSO/ECM, CSO/ECM for Salesforce whence you can share and collaborate the file with your team.

1.1 Definition

Below are the definitions of terms used on the service speculations.
Server: our providing cloud server.
Cloud: reference to our cloud computing services.
Content: Office documents, image files, movie files and online files.

1.2 Service Overview

We offer our services of each section via the internet on the cloud server.

1.2.1 ECM (Content/Document Management) Service

This service will let our customers save their documents and images (hereinafter referred to as “contents”) on our content management systems on the cloud via the public Internet connection; whence we provide content sharing, content delivery, content exclusive-control (hereinafter referred to as “Check-in/Check-out”), content revision management, content-driven-based workflow and access-management aimed at page-and-content browsing by permissions.

1.2.2 Salesforce Version of ECM (Content/Document) Management Service

1.2.1 Similarly, for our customers who use Salesforce.com as well as install our application from AppExchange, we will offer the content management services available on Salesforce UI.

1.2.3 Report Creation/Online Report Service

Via the public Internet connection, Services will save our customers’ output data from the system on the report-creation/online-report systems on the cloud, whence they can create a report image by mapping a pre-designed overlay. After the creation, we will provide export in PDF file-format, HTML-based online report storage and direct connection to a remote printer via the internet from where customers can access to job spool service that manages the print status.

1.2.4 Salesforce Version of Report Creation Service

As with 1.2.3, by our Salesforce customer installing our application from AppExchange, we will offer the content management services available on Salesforce UI.

2 Service Speculations

Following are the detailed speculations of Service.

2.1 License and Edition

We define provisioning function per license.
Following are the licenses. There are unavailable functions by certain editations.

2.2 Organization of Cloud Shared Office / ECM

2.2.2. Storable File Types

Services don’t require the need to save your file in a particular file-format. However, with a security function, the originality of your file would be violated due to an encryption or replication, depending on file-format. In case of saving in the below file-formats, please contact us to confirm the safety for your usage.

  • Files for CAD
  • Files for medical-profession
  • Files for military equipment
  • Other special files than general Office applications, images, music and videos

2.2.3. Available File Count and Size

Below are the available file count and size for Services.

  • File count for bulk upload is unrestricted.
  • The maximum size of an available file size is unrestricted.

The above statements indicate the fact that Services don’t set restrictions as well as provide any guarantees. Hence, available file count and size depend on your operational environment or internet condition.

2.6 Supported Languages

Services support Japanese, English and Chinese (simplified).

2.7 Recommended Environment

2.8 Required Applications and Plug-ins.

The below applications and plug-ins are required per service.

3 Service Provision Conditions

3.1 Service Areas

We shall not permit the usage of or access to Services in the event when there is a usage of or access to Services in Japan’s embargoed countries, including Afghanistan, the Democratic Republic of Congo, Republic of Cote d’Ivoire, Eritrea, Iraq, Lebanon, Liberia, Libya, North Korea, Somalia and Sudan, or unauthorized usage of or access to Services that violate the export administrations laws and regulations of Japan.
In addition, we shall not permit the usage of or access to Services in the event when there is usage of or access to Services in US embargoed countries, including Cuba, Iran, North Korea, Sudan and Syria, or unauthorized usage of or access to Services that violate the US export administrations laws and regulations.
The functions provided by Data Leak Preventions require security-agent installation on your Client PC. In the event of the usage outside of Japan, Services shall conform to the cryptography export regulations in the country for the inclusion of encryption and decoding module.

3.2 Service Provision TIme

The provision time of Services is primarily 24 hours a day, 365 days a year. However, planned shutdown due to our maintenance, service upgrade and urgent shutdown due to our circumstance shall not be included in the provision time. Those all comply with terms of use. For details, refer to ‘Cloud Shared Office Terms of Use’.

3.3 Planned Shutdown

The period of planned shutdown due to the maintenance of CSO service, service upgrade and urgent shutdown due to our circumstance is based on ‘Cloud Shared Office Terms of Use’.
In the actual usage, however, we shall shutdown the system from 10PM on the fourth Saturday of every month to 8AM on the following Sunday, instead of the listed hours in the terms of use.

3.4 Recovery Time Objective

In the event of server troubles, we shall conform to RTO, the data center management company. In the event of application troubles, we shall provide the best solution within 24 hours from the very moment we detected the trouble.

3.5 Working Environment

3.5.1 Workplace

We shall perform the series of operations related to the service provision in our business premises or other premises where we work at.

3.5.2 Operating Instruction to conform to

We shall provide system-engineering service related to Services and other services in accordance with the criteria set forth by us.

3.6 Operational Conditions

3.6.1  System Production Environment

We shall use data centers that meet our quality and security criteria for system production.

3.6.2  Operational Conditions

We shall use only our websites and email as notification means.

3.7 Specification Change Management

3.7.1  Specification Change of Services and Bug Fixes

We shall conduct enhancements and bug-fixes associated with Services at our discretion.

3.7.2 Notification

We shall conduct the customer notification in regard to article 3.4.1 in the same means with that of 3.6.2 Operational Conditions.

3.8 Quality Standards

3.8.1 Quality

Services is the result of the completion of inspections in our office to meet our criteria.

3.8.2 Performance

Because the provision of Services route through the Internet, we shall not set particular performance objective for upload/download speed due to its traits.

3.8.3 Reliability

We define 99.9% of production ratio of our provision service as the performance objective except for the hours of 3.7 Specification Change Management.

4 Charging

4.1 Courses and Chaging Methods

Curses and charging methods vary per service.

4.2 Usage Fee

It varies per license.
For more details on usage fee and contract template, refer to ‘Cloud Shard Office Price List’.

5 Support

5.1 Support Service

Services provide a charge-free support service and two paid-services. For more details on the types and content of the support services, refer to ‘Cloud Shared Office Support Menu’.

5.1.1 Support Terms of Use

Customers who use the paid support services shall not be able to use the charge-free.

6 Other Conditions and Conditions

6.1 Repeated Use of User ID

Repeated use of the same user ID might cause increase the risk of ID/password leak as well as lower the security level that we prohibit an ID sharing among multiple users.

6.2 Usage of Shared Device

Since usage on a shared device can not assure the data-leak security, we shall not take responsibility for data-leak or loss.
